Job Description:

Basic Functions


  1. To organize, coordinate and control administrative functions of company;
  2. To assist Head of Administration in formulation and development of overall administration policies; and
  3. To participate in effective implementation of management plans and policies.



Duties and Responsibilities



  1. Duty time will be 08:00am to 06:00pm, however 24 hours’ availability on cell phone is mandatory.
  2. You will be responsible to check and make the gate control system i.e. Inward, Outward, RGP, visitors, employees checking, company vehicles etc.
  3. To check the time attendance records and operations including workers staff attendance, leaves salary disbursement, Provident fund.
  4. Follow up of Housekeeping and gardening.
  5. Security matters of the company including guard hiring and firing, duty and weapons inspection.
  6. To check and control the finished goods, raw material and general store inventory control system.
  7. Workers code of conduct and their grievances.
  8. Building repair and maintenance.
  9. Vehicle repair and maintenance and their fueling record.
  10. Direct the activities of staff in relation to transportation operations including dispatching, routing, daily log book maintaining and tracking transportation vehicles.
  11. Handle all the operational matters of transportation i.e road accident, chalaan etc.
  12. To give all kinds of legal support to the Organization when and where required.
  13. Dealing with all Govt. departments like, PESSI, EOBI, SNGPL, LESCO, labor department, PTCL, Property tax etc.
  14. Liaison with relevant Government offices and handle such matters i.e. Police stations, TMA, Courts and other departments as required and if necessary, and report to the company management accordingly.
  15. Maintenance and repairing of office premises and equipment.
  16. To look and control all office expenses, petty cash, guest meal arrangements.
  17. Make a strong and effective and quality check on lunch arrangements.
  18. Responsible for lodging boarding and traveling of company guests.
  19. Responsible for in house trainings, seminar and other functions.
  20. Scrape handling receiving, stock and sale through proper procedures.
  21. To check and control the fire safety and health system.
  22. Ensure that access to store room is only permitted to authorized personnel;
  23. Prevent assets of the organization from pilferage;
  24. Ensure that all assets are issued on timely basis;
  25. Issue goods to any employee of the company on his demand as per company policy;
  26. Maintain all documents generated on receiving or issuance of goods;
  27. Ensure that all supplies are made available to the organization whenever required;
  28. Ensure that management policies are implemented effectively;
  29. Provide any sort of document to the higher management on their demand;
  30. Ensure that progress meetings are conducted weekly;
  31. Ensure that all such meetings commence on time;
  32. Take notes and make minutes of meeting, wherever required;       
  33. Distribute the copies of minutes to all participants and absentees;
  34. Discuss with CEO, all major issues discussed in the meeting;
  35. Discuss with all the concerned Managers for irregularities in departmental /organizational matters and inform all such matters to management to take appropriate action;
  36. Approve Issuable required items to the company employees after getting the signature of the Manager/Supervisor/Forman;
  37. Ensure proper maintenance of all record relevant to items issued and received;
  38. Monitor effective maintenance of office premises;
  39. Carry out any other duties assigned by the Management.
